QUESTION

 Case briefing – Executive Summary

Answer the following questions:
1. Draw a process map for the clinic. (refer to the additional materials for more details)
2. What is the capacity utilization of each step? What is the bottleneck?
3. What is the overall utilization for labor?
4. How is variability affecting capacity and wait times in the clinic?
5. How can variability be accommodated or controlled?
6. What recommendations would you make and why?
*This case briefing requires you to focus on the key priorities in a particular competitive situation, and then effectively communicate both your analysis and recommendations. In essence, your report is to be an executive summary that a consultant might provide for senior management, along with several supporting exhibits.

Suggested Formatting (IMPORTANT!!!) – maximum 750 words
As you write your case briefing, it is important to be specific about the issues, analysis and recommendations for senior management, rather than simply offer vague generalities. A suggested format is:
-Overview of the major issues. Why are these the most critical?
-Brief description of specific problem.
-Analysis of the organization’s operations. Multiple levels might need to be considered, ranging from individual activities to the broad organizational objectives and strategy.
-Recommended action plan. Also briefly describe the most significant risk to your plan, and why.
-Exhibits. Detail your supporting qualitative evaluation, process diagrams, or quantitative calculations. (Please note any assumptions). Exhibits must be clearly structured and well-labelled.

Creating Competitive Clinic

Figure 1. Process map for the Clinic

Capacity Utilization of Each Step

The process begins with the arrival of the patients at the clinic, they pass through the security desk for a check-up and then complete the background scrutiny then gives the insurance cover desk or report to the customer’s reception desk.  The patient gets to the accounting department for clearance then either proceeds to the injection room or visits the doctor’s room and is asked to report back to the customer’s office for assistance.  The process map can accommodate up to fifty persons being checked and treated at a time. The facility layout as shown proves that all the areas are operational and actively involved in working to receive and attend to the patients.

Different departments are within the facility and there must be proper coordination among the departments to ensure that effective service is offered. Coordination is required between the departments to ensure that all the emergencies are handed within the facility. The last process in the administration of treatment helps in achieving the best outcome for all who visit the clinic in which the patients are all attended to.

Bottleneck

This is the point of congestion on the production system, from the process there is bottleneck at the reception and the laboratory sections.   The process of having bottlenecks stalls the production at the pharmacy and the laboratory room. Failure to stock the pharmacy can lead to serious bottlenecks and dysfunction in the facility. Constraints occur in the particular demand that makes part of the supply process for the rooms used.

Overall Labor Utilization

Labor is required at all stages, from a system greater than the availability or supply. Labor determines the productivity of services given in the clinic. The system requires five nurses every day to serve all the clients in the clinic.

Controlling variability

Clinical variability is the step put in place which alters the care to serve the needs of specific patients considered appropriate within an organization. Effective control of variability covers maintenance of quality care, health systems, and achieving the physician’s trust in engaging the patients.  Services depend on the employees therefore it is clear that adding the number of employees helps an organization in maintaining staffing. By adding the number of hospital staff, clinic management variability helps in the daily control of effective clinic operations. The clinic can achieve variability by focusing on a standardized treatment of all the patients.

Waiting time and biased treatment of clients can be controlled through close monitoring and proper supervision by the departmental heads.  It is thus controlled through proper coordination and effective communication between all the departments. Variability can affect capacity as many clients may withdraw from the system.  An important performance matrix is achieved through the proper function of all the departments’ gives effective variability and service delivery within the clinic facility. Simulation is a positive process that transforms the service delivery and forms a scale through which the delivery can be tsetse.

Recommendations

The clinic has to ensure that enough health workers are present in the clinic every day. The clinic to try to automate the initial stages like the background checks to help fasten the process and reduce time taken to see the doctors.  The organization has ton adopt computerized laboratory tissues scanning of the samples taken for analysis. The examination rooms should be well-built with proper machines that help in quick functioning and service delivery.  Setting objectives and engaging all the employees through proper organization of the departments.

The action plan may create greater risk of rendering many people or employees jobless. Overdependence on technology is expensive and so addictive thus can negatively affect the service delivery in the clinic.
