      Section IV of the Business Analysis and System Recommendation will propose an IT solution to meet CIC's organizational strategy and meet its operational needs. In Section IV, you will also Identify and explain the high-level steps that will need to take place in order to implement the system you have proposed.
      Using the case study and the outline and resources listed below, develop your Section IV - System Recommendation.       Stage 3 Answer Format

      There is a requirement for research outside the case itself.  One outside reference and one reference from class readings and these must meet APA requirements

       

       

      The first step is to incorporate the feedback you received on your Stage 3 assignment, making any needed corrections or adjustments.  (If you have not incorporated the feedback from your Stage 1 and Stage 2 assignments, you should do so prior to submitting Stage 4.)       1. Benefits of an Enterprise Solution: Explain what an enterprise system solution is in general (one paragraph) and how such a system would help CIC (one paragraph).  (Two complete paragraphs in total) Note:  Enterprise solutions are not the same as ERP applications.
      2. Proposed IT Solution: There are many SaaS HR systems available. Conduct some research on the web (using the search term "SaaS HR system") and identify a system that will support and improve the hiring process at CIC and that meets the requirements you listed in Section III -Strategic and Operational Outcomes (the Stage 3 Assignment).  Be sure to evaluate potential solutions to align with the needs of CIC.  Identify the vendor and the system you selected. (One paragraph)
      3. How the Proposed IT Solution Meets the Requirements: Using the 10 requirements you listed in your Stage 3 assignment (and incorporating any feedback you received), you will now explain how the solution you have chosen fulfills these requirements.

      NOTE:  This final submission should be a cohesive Business Analysis and Systems Recommendation Report for the CIO of Chesapeake IT Consulting.  Sections I, II and III should have been updated to reflect substantive feedback received during the grading process.  The formatting should be consistent throughout the document, and the writing should flow well from beginning to end.  Headings, numbering, and footers should be correct for a final submission.  Although you prepared this in stages, the final product should not seem to be piecemeal or disconnected.  There should be one Reference Page at the end that contains all of the references used in the paper.

An enterprise system solution is the process by which business operations, activities and processes within an organization are evaluated, analyzed and improved, mostly by an enterprise system application from a vendor (Mistrik, 2013). The enterprise system solution, therefore, involves detection of weaknesses, potential risks, wasteful processes and utilization of applications or human skills to solve challenges towards a more efficient, diverse, accurate and functional organization.

To the CIC, an enterprise system solution would effectively help to note operational processes causing delays in their ability to serve customers, meet organizational goals, and thereby help them identify system applications that can help CIC maximize its operation. By utilizing an enterprise solution, the organization can be able to note what actions in their consulting services, staff maximization, utilization of technologies and implementation of strategies are ineffective and which ones are more functional (Weichhart et al, 2016). The system can, therefore, lead to determination of which enterprise system application will help maximize CIC’s operations.

  1. Proposed IT Solution

One Saas HR system that would effectively support hiring processes at CIC is BambooHR by Bamboo Solutions based in Utah. According to Bamboo Solutions website, the BambooHR system is a cloud-based system in which the company’s staff can remotely access HR services based on their customer requirements. The system allows multiple functions like applicant tracking (ATS), time-off tracking, on-boarding tools and services, e-signatures and other numerous management services based on the organization’s requirements. Nonetheless, to CIC, the system will be more effective compared to the other SaaS HR systems in the market for various reasons. To begin with, CIC requires a system that will help in decision making and since this is widely performed at the management level, the system features performance management and reporting tools that form the basis of understanding the staff, leading to effective decision making. Since CIC deals with a wide population of applicants and staff, each of these people and their interactions will have to be tracked and this is effectively achieved through the BambooHR ATS. The recruitment management tool is also able to ensure that all applicants handled by CIC are tracked and their qualifications effectively analyzed to understand their ability to contribute to their respective workplaces. Due to its ability to guide the selection of applicants based on merit, the system supports integrity and accountability in the recruitment process. Other benefits of the system to CIC include: management of staff attendance, management of compensation, evaluating and ensuring compliance, allowing self-service operations upon training of the staff and management, and finally, it is managed by provider at an affordable cost eliminating the need for another IT team to manage the system.

Since the BambooHR systems meets majority of recruitment needs of CIC, its implementation will be inevitable and aimed at ensuring the system can be maximized for better performance and processes at CIC. The implementation process will, therefore, seek to highlight the costs and other system requirements as directed by the vendor.

Implementation Areas:

  1. Vendor Agreement:

To begin using the system, CIC has to contact Bamboo Solutions either through a phone call (Phone number: 1-855-984-0711) or through an email in the company website (www.bamboohr.com); and express their interest. According to Bamboo Solutions, the cost of the system will range between USD $1 to $10 per employee per month, and reduced whenever the employee population increases.

  1. Hardware and Telecommunications
  2. Since the system is expected to serve over 15 staff through wireless area network, the hardware required would include: a terminal sever and a remote computer desktop server preferable by Microsoft. Additional hardware includes: Multicore Intel/AMD processor with market date of 2007 or beyond, minimum of 2GB RAM for the OS and 100 MB RAM per user connection for every staff, at least 5GB hard disks for every user and CD-ROM drives for every user with at least 24X speed.
  3. For communication, a wireless area network would be ideal for continuous and efficient communication.
  4. Configuration
  5. In order to configure the system into CIC requirements, Bamboo Solutions allows for remote configuration or with the support of the company staff. To configure remotely, the CIC staff has to obtain a BambooHR API key as provided by Bamboo Solutions then follow the instructions available through the vendor’s website.
  6. Configuring will be done remotely either by the company staff or by the vendor as the client prefers.
  7. Testing

According to Bamboo Solutions, the enter process of installation and maintaining of the system will be done with the support of the vendor. Even in cases where the client prefers to perform the task, a support staff will be accessible both online and through a phone call to assist in the tasks. In this regard, upon installation, the testing will be done with the CIC staff but with support from the vendor. For instance, considering a task like screening of applications, the vendor will allow the client to screen their applications using names of existing staff and later schedule interviews to ascertain the effectiveness of the system. This process would be done with the client as the vendor awaits any queries. After successful completion, the vendor will begin billing the services.

  1. Employee Preparation
  2. Leadership

In this case, CIC will have to select leaders who will begin using the system as others will be scheduled to join the system later. Furthermore, CIC will appoint leaders to guide effective utilization and maximization of the system. The leadership will also have to be restructured to incorporate the role of the system manager and its support team.

  1. Change Management

To ensure effective management of change, CIC will have to schedule the implementation process in stages to ensure systematic implementation. Additionally, CIC will have to adopt a change management approach that would allow maximization of the system and reduced resistance from the staff.

  1. Training

In the training stage, CIC will have to seek the help of vendor in developing a training manual that would be used in training staffs in phases. Training will have to be made mandatory and will have to include internal evaluations to ensure seriousness and maximization of the system.

  1. Data Migration

To begin using the system, the company’s staffs and their information regarding compensation, skills and roles will have to be added into the system. CIC operations and services will also have to be filled into the system and lastly, the leadership operations and services will have to be filled in the initial stages. To migrate this information into the system, the IT department at CIC will collect the information from different departments and add it to the system. However, in the later stages when most staffs will be skilled on using the system, each one of them will fill their respective information related to their work.

  1. Maintenance

The system will be maintained by CIC’s IT staff with support from the vendor.

 

Conclusion

            CIC is human resources based organization which needs a functional enterprise system to support its numerous processes and remain competitive. The BambooHR system is ideal as it offer both benefits through an affordable, easy and interactive process. As a leading system in recruitment applications, CIC is able to integrate its services, track all their staff and help other institutions maximize their human resources through their consultant services. As a consultancy, the organization is expected to utilize some of the best approaches to human resources selection, mobilization and maximization. The BambooHR system, therefore, allows them to achieve this making them more competitive in the field. This system also comes with adequate support from the vendor and allows customization to ensure the client is able to optimize the system based on their operations.
