Components of Effective Communication Plan in a Project
Communication is the key of any implemented project in which the project manager takes much of their time communicating with project participants. Undoubtedly, nothing is critical to the success of a project than effective communication. In a fact, the more effective communication is the better the project is management and the greater the success is the project is. As such, project managers must take into account various factors that constitute effective communication plan when executing or implementing project.
A major factor that constitutes an effective communication plan for a project is the sender and receiver. Essentially, effective communication plan for the project entails the project manager formulating clear message and conveying this information to the receivers, or project participants to make them understand the benefits of the project and avoid possible resistance to the project. The message should take into account various needs of the participants and the benefits of the project should ultimately outweigh the limitations as this will entice the audience to accept the project in its totality.
In project management, an effective communication plan encompasses identifying a medium to convey the contents of the message. Although the medium may take any form, the project manager must ensure that the chosen medium is able to influence the receptivity of the receiver. In choosing the medium of communication, the project manager must ensure that the chosen medium can enable the receivers to receive and interpret the message according to their preferences. This according to Potter et al. (2015) will ensure that the receivers clearly understand the benefits of the project thereby eliminating possible resistance.
Undoubtedly, an effective communication plan in project management entails seeking views and feedbacks of the audience. Essentially, the feedback may be negative, positive, or neutral depicting the receptivity of the receivers. For effective communication to occur, the project managers must put in place mechanisms of receiving feedbacks from project participants and how to tailor such feedbacks to the project requirements. Similarly, an effective communication plan for a project constitutes a setting or context that affects the project results. Essentially, the context usually entails space, time and structure. Principally, the project manager must understand the effect and interplay of various variables involved in the project so that the message, feedback, medium and settings are fully understood before the project is executed.
In conclusion, an effective and clear communication plan is the key to any project management. Intuitively, how well project managers communicate will ultimately influence the success of their projects. An effective communication plan entails a clear understanding of elements of communication that include message, receiver, medium, and sender among others.
